The Patient File That Finds You: Box, Slack & IHOS

At CIMSS, every patient’s documents live in Box. Until now, finding the right file meant leaving Slack, opening Box, and hunting through folders. Nobody got a heads-up when something new landed, either. Two IHOS capabilities fix both problems, right inside the Slack channel your care team already lives in.

The Hunt Nobody Budgets For

A care coordinator gets a question in Slack about a patient’s recent paperwork. They know the answer is in Box. So they leave Slack, open Box, find the patient’s folder, then the subfolder, then the next one, scanning file names until the right one turns up.

A few minutes, every time. Multiply that by every question, every patient, every day. Meanwhile, a new lab report landed in that same folder an hour ago, and no one was told.

1. Ask: Just Request the File in Slack

Slackbot, connected to our Box account, lives in the same workspace as your care team, so the conversation never has to leave the patient’s channel. Here is what it can do:

  • Find a patient’s files in seconds. Ask for a patient’s Box folders or files, and it replies with the names and direct links. No more digging through nested folders.
  • Summarize a file on the spot. Ask it to summarize a specific document, and the key points appear right in the thread.
  • Save the summary back to Box. Ask it to turn the summary into a new file and store it in the patient’s folder. You can even say exactly where, like “save it in the Demographics folder,” and it creates the note there.

2. Watch: CIMSS Box Alerts, the Watchdog That Never Blinks

While Slackbot answers when you ask, CIMSS Box Alerts watches all the time. It is the piece CIMSS built in-house.

Think of it as a quiet watchdog sitting on every patient’s Box folder. The moment a file is uploaded, renamed, moved, or trashed, a plain-language notification posts straight into that patient’s Slack channel. It names the patient, who made the change, the folder, and the file, and it includes a direct link to open the file in Box. So when a new lab report lands, the whole care team knows right away, without anyone checking Box.

Box tells us something happened, Salesforce recognizes which patient the folder belongs to, and the alert is posted to that patient’s Slack channel automatically. This part uses no AI. It is fast, predictable, and always on.

Security Stays Exactly Where It Was

Neither capability opens a new door. Box remains the gatekeeper for both.

  • Slackbot: it only works with files you already have access to in Box. If you were never added as a collaborator, it cannot find or summarize that file for you.
  • CIMSS Box Alerts: only members of the patient’s Slack channel receive the notification. And if someone clicks the link without Box access to that file, the link opens but the file does not. They see a “you don’t have access” message instead.

The security model the organization already trusts stays exactly where it is.

Why It Matters

Providers don’t lack information. They lack the time to find it. Every minute spent searching is a minute away from the patient, and every file that arrives unseen is a decision made without the full picture.

  • Ask, and the file comes to you with the Slackbot.
  • Watch, without lifting a finger with CIMSS Box Alerts.
